Be A Neighbour ("BAN," "we," "our," or "us") is a registered nonprofit organization based in Regina, Saskatchewan, Canada. We are dedicated to supporting neighbours experiencing vulnerability through practical support, public education, and long-term pathways toward stability.

We take your privacy seriously. This Privacy Policy explains what personal information we collect, why we collect it, how we use it, and the choices you have about it. We've written it in plain language on purpose because you deserve to understand how your data is handled without needing a law degree.

By using our website, submitting a form or engaging with BAN in any way, you consent to the practices described in this policy. If you do not agree with this policy, please do not submit personal information to us.

Note: This policy applies to residents everywhere in the world, including those in the European Union (GDPR) and California, USA (CCPA). Where your rights differ based on your location, we have noted that clearly.

2. Types of Data We Collect

We only collect information that helps us run our programs, communicate with our community, and fulfill our mission. Here is what we may collect:

2.1 Information You Provide Directly

• Full name

• Email address

• Phone number

• Mailing address

• Demographic information, if voluntarily provided, to help us measure our community impact

• Donation information — we do not store your credit card or financial details directly; all payment processing is handled by a secure third-party payment processor.

• Communications you send us (emails, messages, feedback).


2.2 Information We Collect Automatically

• Website usage data (pages visited, time on site, referring URLs) via analytics tools

• Device and browser type

• IP address

• Cookies and similar tracking technologies (see Section 7 for full details)


2.3 Information from Third-Party Platforms

• Email engagement data (opens, clicks) when you subscribe to our newsletter

• Social media interactions (likes, shares, follows) on our official accounts governed by each platform's own privacy policy


We do not collect: Sensitive categories of personal data unless you choose to share this with us voluntarily for a specific program need, and we will always ask for your explicit consent in those cases.

3. How We Use Your Data

We use your information only for the purposes listed below. We do not sell your data ever.

• Delivering our programs and services

• Communicating with you about BAN news, programs, and opportunities you've opted into

• Sending newsletters and updates

• Processing donations securely through our third-party payment processor

• Tracking program participation to measure our community impact

• Improving our website and understanding how people engage with our content

• Responding to your questions, feedback, and requests

• Complying with legal obligations


Our legal basis for processing your data (required under GDPR) is one or more of the following:

• Consent — you have explicitly agreed (e.g., newsletter sign-up)

4.1 Service Providers

We work with trusted third-party tools to operate BAN. These providers have access to your data only to perform services on our behalf, and they are bound by confidentiality obligations.

4.2 Legal Requirements

We may disclose your information if required to do so by law, or in response to a valid legal process (such as a court order or government request). We will notify you when possible if such a request is made, unless we are legally prohibited from doing so.

Depending on where you live, you have specific rights regarding your personal data. We want to make it easy for you to exercise them, just contact us at the contact details in Section 10 and we'll respond within 30 days.

5.1 Rights for Everyone

• Right to Access — You can ask us what personal data we hold about you.

• Right to Correct — You can ask us to fix inaccurate information.

• Right to Withdraw Consent — You can withdraw consent at any time (e.g., unsubscribe from our newsletter). This does not affect processing that already occurred.

• Right to Lodge a Complaint — You can file a complaint with your local privacy regulator


5.2 Additional Rights Under GDPR (EU/EEA Residents)

• Right to Erasure ("Right to Be Forgotten") — You can ask us to delete your personal data, subject to certain legal exceptions.

• Right to Restriction — You can ask us to limit how we use your data in certain circumstances.

• Right to Data Portability — You can request a copy of your data in a commonly used, machine-readable format.

• Right to Object — You can object to processing based on legitimate interests.


5.3 Additional Rights Under CCPA (California Residents)

• Right to Know — You can request the categories and specific pieces of personal information we have collected about you in the last 12 months.

• Right to Delete — You can request deletion of personal information we have collected, subject to certain exceptions.

• Right to Non-Discrimination — Exercising your CCPA rights will never result in you being denied services or treated differently by BAN.

• Access controls — only authorized staff and volunteers can access personal data, and only on a need-to-know basis
• Secure platforms — we use reputable, industry-standard platforms that maintain their own robust security programs

• Encrypted transmission — our website uses HTTPS to protect data in transit

• Regular reviews — we periodically review our data practices and update our security measures accordingly

No method of data transmission or storage is 100% secure. If you believe your information has been compromised, please contact us immediately at the contact details in Section 10.

In the event of a data breach that is likely to affect your rights, we will notify affected individuals and relevant authorities in accordance with applicable law (within 72 hours where required by GDPR).

7. Cookies and Tracking

8. Children's Privacy

BAN's programs, website, and communications are not directed at children under the age of 13 (or 16 in certain jurisdictions under GDPR). We do not knowingly collect personal information from children without verified parental consent.

Some of our community programs serve families and children. In those contexts, all personal information is collected from a parent or legal guardian and never from the child directly.

We may update this Privacy Policy from time to time as our organization grows, our tools change, or laws require it. When we make material changes, we will:

11. Additional Considerations

Based on BAN's current operations and applicable law, here are a few additional areas worth noting:

Data Retention

We keep your personal information only as long as necessary for the purpose it was collected, or as required by law. Certain records including donor information are typically retained for 7 years for charitable accounting purposes. Newsletter subscription data is retained until you unsubscribe. You can request deletion at any time (subject to legal obligations).

International Data Transfers

Some of our service providers may store or process data outside of Canada including in the United States. Where this occurs, we ensure those providers comply with applicable data protection standards, including Standard Contractual Clauses where required under GDPR.

Links to External Sites

Our website and podcast may link to external sites (e.g., partner organizations, social media platforms). This policy does not apply to those sites. We encourage you to review their privacy policies before providing any personal information.

Saskatchewan Privacy Law

As a Saskatchewan-based nonprofit, BAN is also subject to The Local Authority Freedom of Information and Protection of Privacy Act (LA FOIP) and PIPEDA (Canada's federal private sector privacy law) where applicable. This policy is designed to be consistent with those requirements.
